Job Title:         Cathedral Office Manage

Reports to:      Dean, Trinity Episcopal Cathedral

Hours:             40 hrs/wk primarily in Cathedral office; schedule to be determined in collaboration with Dean.

Additional compensated hours may be necessary during church holiday seasons or special events.

Compensation:  Range of $18.00-$23.00/hour depending on experience, plus additional benefit package.

 Employment Classification: Non-Exempt

Position Summary: The Cathedral Office Manager (OM) works with the Dean, Cathedral staff, and Cathedral Chapter to manage the business of the Cathedral, primarily in the areas of office management, facility management, staff management, strategic planning, event management and communications.  The OM provides general office and personnel support to the parish, staff, Cathedral Chapter, congregation, and committees, to support the mission and ministries of Trinity Cathedral. The OM will be a support and resource person for both members and non-members and a welcoming and responsive presence in the Cathedral’s office.

Knowledge, Skills and Abilities: 

  1. Welcoming disposition and a willingness to serve all who come to Trinity Episcopal Cathedral
  2. Effective communication skills, including strong writing and grammar skills
  3. Ability to maintain strict confidentiality
  4. Strong organizational skills, including ability to manage workload and take initiative
  5. Proficiency with Office Suite and experience using MailChimp, WordPress, and database applications
  6. Must pass a background check, participate in Anti-Racism Class, and maintain “Safeguarding” certificates.
  7. Some experience in ministry, whether paid or unpaid (preferred)
  8. Some knowledge of the polity of the Episcopal Church (preferred)

Essential Duties:

Cathedral Support

  1. Provide a welcoming and helpful presence in the Cathedral office
  2. Respond to requests for information and resources via email, telephone, and in-person visits
  3. Build and maintain relationships with the Cathedral congregation and Diocesan leadership

Administrative Support

  1. Provide administrative support to Cathedral Chapter and various committees (i.e., preparing and distributing documents, scheduling meetings, etc.)
  2. Maintain vendor relationships and coordinate with vendors as delegated by the Dean and Building and Grounds Committee
  3. Place orders for supplies and equipment as needed and authorized
  4. Produce rosters, correspondence, and other documents, including monthly volunteer lists, annual reports, letters of transfer, archive requests, parochial reports, etc.
  5. Sort incoming mail and assist in Cathedral mailings
  6. Maintain and manage Cathedral calendar
  7. Maintain Columbarium records, including oversee sale of niches, purchase urns, engraving faceplate, coordination with family and funeral home, and Columbarium policy and procedures
  8. Provide support to Financial Administrator and Chapter Committees as needed
  9. Additional duties as added by the Dean

Information Management and Communications Support

  1. Develop and maintain a functional system of communication with the parish
  2. Maintain parish records, including financial, membership, diocesan, physical plant, and other operational data
  3. Produce reports, directories, and other documents from parish records under the direction of the Dean, Cathedral Chapter, and committee leadership, on a timely basis
  4. Coordinate the parish calendar to facilitate building usage by internal and authorized external groups
  5. Produce and distribute weekly e-news and monthly parish newsletter by email and regular mail
  6. Assist with preparing and distributing marketing materials, as directed
  7. Ensure posted signage is updated regularly to reflect current events and activities
